Notion Mail Has Shut Down: What Didn't Survive

Notion shut down its email client on 22 September. Your mail is still in Gmail, reminders set in Notion Mail didn't transfer, synced email databases stopped updating — and Notion's own page about the shutdown has since been taken down.

We reported the shutdown ahead of time on 26 August: Notion Mail shuts down 22 September — export by the 21st. That entry stays up as it was written. This one is the aftermath, published 1 October after re-checking at source.

What happened

Notion Mail's iOS, desktop and web apps shut down on 22 September 2026, about seventeen months after the product launched. Notion announced it on 25 June and set the last export day at 21 September.

Notion's page about the shutdown is no longer online. The help article we read on 26 August and again on 14 September now redirects to Notion's help home, and notion.com/product/mail redirects to its product index. Everything quoted below is from our own readings of that page on those two dates. You can no longer check it at the source, which is its own small lesson about a vendor's documentation being the only record of what it promised.

Notion's reasoning, from the announcement: more than half of Notion Mail users already managed email without opening the inbox, having handed those workflows to Notion's agents. "As Notion agents have gotten more capable, we've seen more users hand off email workflows to them," the company said, adding that it was "going all in on using agents to run your inbox."

Your actual email is safe. Notion Mail synced two ways with Gmail, so every message you sent or received through it is still in your Gmail account.

What didn't survive

The page said anything not exported by 21 September would be "permanently deleted". That covered drafts, scheduled emails, snippets (with files attached to them downloaded one at a time) and auto-label instructions.

Two losses applied even to people who exported everything:

  • Email reminders set inside Notion Mail. They didn't transfer to Gmail. If you used them to chase clients or invoices, nothing inherited them, and nothing announced that they had stopped.
  • New mail in email database views. Databases already synced keep the messages they had, but no new email arrives in them. A client database built that way still looks like it works. It stopped being current on the 22nd.

Our 26 August entry also said custom inbox organisation and views would have to be rebuilt by hand. We can't re-check that now the page is gone, so treat it as what the page said in August rather than something we can still point you to.

If you missed the export, your mail is in Gmail; what's gone is the layer Notion kept on top of it. The step still worth taking is the one we suggested before the deadline: write down every place you relied on a Notion Mail reminder, and set each one up somewhere you'll actually see it.

If you're HIPAA-covered, the date that mattered was earlier: organisations relying on HIPAA coverage were told to transition off Notion Mail by 30 June 2026, five days after the announcement.

The replacement is a connector, and it changed too

For about seventeen months, Notion Mail answered the strongest objection to running client relationships inside Notion: that Notion can't see your email. What Notion offers instead is email as something its AI reads, not an inbox you open.

That connector is no longer Business-only. When we wrote about this in August and September, the Gmail connector required Notion's Business or Enterprise plan plus a Google Workspace admin. As of 1 October 2026, Notion's AI Connectors page says: "To connect third-party apps to Notion AI, you must be on the Business or Enterprise Plan. The Gmail AI Connector (personal) is free to connect for all plans." Its own help page for the personal version says it "works on any plan", needs "no admin access", connects your personal Gmail inbox only, and that "Notion AI will be able to search and answer questions related to your emails."

So the correction to what we said in August: a free Notion user can now point Notion AI at their Gmail. What that gives you is search and answers over your mail. Nothing we read says it can send, and it is not the thing a CRM needed — it doesn't log email against a contact, doesn't remind you to chase anyone, and doesn't put new mail into a database. The organisation-wide Gmail AI Connector still needs Business or Enterprise and a paid Google Workspace, installed by someone who is both the Notion workspace owner and a Google Workspace admin.

The wider lesson is the one we keep running into. Notion Mail was free, genuinely useful, and shipped by a company with no financial trouble, and it lasted seventeen months. A free tier can shrink, as HubSpot's contact limit did, or it can simply stop existing. Neither is a reason to avoid free tools. It's a reason to know which part of your business would stop working if one disappeared, and to keep that list short — and, now, to keep your own copy of what the vendor's documentation said, because that page can go too.
